The Administrative Assistant works as a staff member of the Administrative Office team and provides assistance to the designated supervisor and other site employees. Primarily responsible for any administrative assistance required by management and/or program staff and ensures all administrative office procedures are in compliance with ROP established professional standards. The Administrative Assistant reports to the designated department supervisor.


  • Establishes the Administrative office as a professional, responsive and effective administrative unit to the site, external agencies and clients and parents.
  • Handles general daily office activities including but not limited to correspondence, typing, reporting, filing, phone calls, visitors, shipments, deliveries, mail, copies, faxes, tours, meeting minutes, etc.
  • Establishes and maintains organizational procedures to ensure effective operations and administrative support.
  • Ensures the schedules, rosters and other written documentation is accurate and current.
  • Orders office supplies and other program necessities as approved by management.
  • Assists in scheduling fire drills and maintains the necessary documentation of such, if applicable.
  • Depending on site, inputs student information into the database in accordance with the position security level and operating procedures.
  • Assists in gathering information and data for licensing and company audits.
  • Specific to Silver State Academy (includes but not limited to): In addition to the duties stated in this job description, this individual also 1) Coordinates and publishes the Plan of the Week, 2) manages and maintains site petty cash, 3) provides administrative assistance to the Program Director, Human Resources Manager and the medical department, and 4) coordinates student/staff travel.
  • Specific to Hillcrest Training School (includes but not limited to): In addition to the other duties stated in this job description, this individual also 1) handles site inventory, 2) manages and maintains the site petty cash drawer, 3) handles invoices (accounts payable and receivable), 4) assists with site budget preparation, 5) assists the Human Resources department when needed, and 6) acts as the site administrator for employee payroll processing.
  • Completes required reports and documentation in a timely manner, provides management with required reports and advises of any problematic situations.
  • Complies with and implements the Rite of Passage Policies and Procedures as detailed in the appropriate manuals/handbooks.
  • Ensures the highest standards are maintained to prevent illegal, unethical, or improper conduct and to ensure the program remains in compliance with agency licensing and Rite of Passage policies and procedures.
  • Assists with the correction of deficiencies and quality improvement efforts.
  • Attends and participates in all required meetings.
  • Commits to attending all training and staff development classes in order to ensure sufficient hours of training on an annual basis. Notifies supervisor if annual training hours are deficient.
  • Ensures the safety, health and welfare of staff and students at all times.
  • Provides encouragement, guidance and resources to staff and students when needed.
  • Models and ensures all program norms are upheld without compromise.
  • Acts as a positive role model and mentor for both staff and students.
  • Treats others with respect, confronts negative behavior and supports confrontations.
  • Other duties as assigned, verbally or in written form to meet the needs of the program.

  • Participates in Site, Region and/or Company events as required.

  • High School diploma or equivalent.
  • At least three years of experience working in an office environment.
  • Experience and success in office management.
  • If required to operate a company vehicle during the course of employment, must meet the requirements to be an eligible ROP driver. Must possess a current State Driver’s License and have an acceptable driving record for the past three (3) years.
  • Ability to pass a criminal background clearance check, drug screen, physical and TB test.
  • Ability to utilize resources available to complete assigned projects.
  • Ability to prepare written reports and correspondence,
  • Ability to understand and follow verbal and written instructions.
  • Ability to effectively communicate, verbally and in writing.
  • Able to work 40 hours per week with the possibility of a varied schedule and overtime.
  • Must be able to maintain a high level of confidentiality.
  • Must have excellent organization and time management skills.
  • Ability to build and maintain positive internal and external relationships.
  • Ability to provide exemplary customer service to all employees and outside constituents.
  • Ability to function independently and as a member of a team in a multi-task environment.
  • Must be flexible and able to handle multiple priorities, with the ability to adjust to high pressure and rapidly changing business conditions.
  • Proficient in the use of computers and associated software.
